                      1.1    Ragic App Introduction

                      With the Ragic App, users can quickly add, edit, view, and approve records on their mobile devices, without opening a computer browser. This greatly improves daily operational convenience.

                      Please note that all form design–related features must be configured via the web version. For details on what is not supported in the app, refer to the Unsupported Features in Ragic App.

                      Common Use Cases and Applicable Roles

                      ・Sales Management

                      During client visits, sales staff can quickly access information and upload photos directly to forms on-site. After the meeting, new visit records can be added immediately, eliminating the need to update them back at the office.

                      ・Warehouse Management

                      In warehouse operations, the app can be used to scan barcodes for managing inbound and outbound shipments. Users can also track inventory and shipping records efficiently.

                      ・Personnel Management

                      For attendance tracking and internal process management, staff can clock in/out, manage attendance records, initiate approval flows, and review documents directly on their mobile devices, improving overall workflow flexibility.

                      App Download

                      To use the Ragic App on a mobile device, follow the instructions below to download and install it:

                      ・iOS Users: Search for “Ragic” on the App Store, or tap the icon below to download.

                      ・Android Users: Search for “Ragic” on Google Play, or tap the icon below to download.

                      If you are unable to download the app via Google Play due to specific restrictions, you may also visit the Ragic website to register and log in to your account, then download the Android version via this APK download link.

                      Mobile Device System Requirements

                      Platform Supported OS Version
                      iOS iOS 16.0 or above (compatible with both iPhone and iPad)
                      Android Android 6.0 or above

                      Please note: If your device doesn't meet the minimum system requirements, the app may not install properly. We also recommend using a recent operating system and device model, as support for older versions may gradually phase out and affect the app's performance.

                      2.1    App Login

                      In addition to logging in with a username and password or via Gmail, you can also use biometric authentication, such as fingerprint or Face ID. Biometric login needs to be enabled after your first login. Once it's set up, you can quickly log back in with your biometrics, even after logging out.

                      On-premises User Login

                      If using an on-premises version of Ragic, tap “On-premises user?” on the login screen. Then, enter the Email, Password, and the Server URL or IP address of the on-premises server to log in.

                      Guest Login

                      The Ragic App also allows guest access. Tap “Access an account as a guest?” at the bottom of the login screen, then enter the URL of the form you want to access to proceed directly to the corresponding form in the database.

                      2.2    Homepage Overview

                      After logging in to the app, the top section displays the main function bar, while the middle area lists tabs, and the bottom includes settings for offline data.

                      Menu Options

                      ・Install Template

                      Quickly install module templates to speed up form creation.

                      Note: Sheet design and customization must still be done on the web version.

                      ・Scan Barcode

                      Scan a sheet’s QR code to quickly open a specific sheet or trigger an action barcode set up on the form.

                      ・Open Web App

                      When new features are not yet available in the mobile version (e.g., pending iOS or Android review), this option allows switching to the web app interface directly.

                      ・Database Name

                      Tap to quickly return to the database homepage.

                      ・Switch Tab Menu

                      Use this dropdown to switch between different tab groups(tab menus) within the database.

                      ・Switch Account

                      If the user account has access to multiple databases, this feature allows switching between them.

                      ・Settings

                      Access the general settings for the database. See the "Account Settings" section for more details.

                      Search

                      You can search for records using keywords or by scanning a barcode with the icon next to the search bar. Scanning a barcode will take you directly to the related form or record. Please note that action barcodes are not supported with this method.

                      Tasks and Notifications

                      These work the same way as in the web version. Please refer to related documentation for more details.

                      2.3    Offline Data

                      At the bottom of the homepage, the Download Offline Data feature allows users to view pre-downloaded sheets without an internet connection. Please note that without downloading data in advance, sheets will not be accessible offline.

                      How to Download Offline Data

                      1. Tap the download icon to open the Download Sheet Data page.

                      2. Select the tabs or sheets to be downloaded.

                      3. Tap the download icon again in the upper right corner to start downloading.

                      How to Delete Offline Data

                      1. From the homepage, tapping Delete will remove all offline data at once.

                      2. Alternatively, go to the download page, select a specific sheet, and delete its offline data individually.

                      Important Notes

                      1. To include pictures and files in your offline data, make sure to check the Download Pictures and Download Files options in the offline data settings. Otherwise, related content will not be accessible without an internet connection.

                      2. Adding or editing entries is not supported while offline.

                      2.4    Account Settings

                      In the Account Settings, users can view basic account information and adjust Ragic App settings, such as language, appearance, account security, and field display preferences. The sections below explain each setting:

                      General

                      ・Language

                      Change the display language of the app. Currently supported languages: Traditional Chinese, Simplified Chinese, English, Spanish, French, and Japanese.

                      ・Send crash reports

                      When first using the app, you'll be asked whether to allow sending crash reports. It is recommended to enable this option to help us improve the app experience.

                      ・Default external map application

                      When tapping an address field in a form to open navigation, you can choose which map app to use (e.g., Apple Maps, Google Maps, or Baidu Maps).

                      ・Clear cache image

                      The app caches images to improve loading speed. To free up device storage, you can tap this option to clear the saved image cache.

                      Appearance

                      To adjust the app’s visual theme, the following options are available:

                      ・Light mode

                      ・Dark mode

                      ・High contrast mode (select Original or Seamless)

                      Security

                      ・App Lock

                      Enable this to require a password or biometric authentication (fingerprint or Face ID) every time the app is opened, enhancing data privacy.

                      ・TOTP(Time-Based One-Time Password)

                      When enabled, the app will generate a time-based one-time password every 30 seconds. This is mainly used for Two-step Authentication (2FA) on the web version, allowing secure login using a dynamic password from the app. See the "How to Set Up Two-Step Authentication (2FA) in the Ragic App?" section for more details.

                      Form Settings

                      Customize field behaviors in forms. Below are some commonly used options:

                      1. Signature fields

                      If the signature field doesn't function as expected, try switching to the legacy interface here to see if the issue is resolved.

                      2. Selection fields (Quick select field editor)

                      By default, after selecting an option, you need to tap "Confirm" to return to the form. Enable this setting to return to the form immediately after selecting an option.

                      3. Select from other Sheet fields

                      Under the Drop-down menu suggestions setting, this affects how suggestions appear in linked fields:

                      ・Unchecked: Only values that start with the input will be suggested.

                      ・Checked: Suggestions will include values that contain the input.

                      About Ragic

                      Displays the current version of the Ragic App. When reporting an issue to customer support, it's helpful to include this version info for quicker troubleshooting.

                      To contact support:

                      ・On the web version, click Need Help > Support Ticket in the upper-right corner.

                      ・Or in the app, tap Contact Us > support@ragic.com to send an email.

                      2.5    Listing Pages Introduction

                      After entering a sheet from the homepage, the first screen displayed is the listing page. At the top, a frequently used toolbar is available for switching the display modes, and for filtering and sorting records. In the upper-right corner, the options menu offers more advanced features.

                      To add a new entry, simply tap the “+” icon in the bottom-right corner.

                      Switching Display Modes on the Listing Page

                      There are three available display modes for viewing data in the app: List View, Table View, and Grid View. You can switch between them using the icon in the top-left corner.

                      The default mode is List View. To change the default mode, go to the Options Menu in the top-right corner and select Change Design.

                      Please note: if Conditional Formatting is applied on the listing page, it will only be visible in Table View.

                      Filtering and Sorting

                      You can either apply pre-configured filters created in the web version, or set up custom filters and sort conditions directly within the app.

                      However, please note that any filter or sort settings configured in the app are temporary and cannot be saved for future use.

                      Listing Page Options Menu

                      Tap the options menu in the top-right corner to access the following functions:

                      ・Get record count

                      ・Total & Summary

                      Mail Merge (Word/Excel)

                      ・Share this sheet

                      ・Change Design

                      The Mail Merge feature requires prior configuration in the web version before it can be used in the app.

                      For Share this sheet, you can either generate a QR code to share, or copy the URL and send it to others—provided they have Access Rights to the sheet.

                      2.6    Form Pages Introduction

                      At the top of each form page, the toolbar includes the following features from left to right:

                      ・Comments

                      ・Share This Entry (via QR code or URL copy)

                      ・Action Buttons

                      Approval

                      ・Add New Entry

                      ・Form Page Options Menu

                      If the form includes subtables, they will always appear at the bottom of the form page. The position of subtables cannot be changed.

                      Add, Edit, and Delete Entries

                      ・Add Entry

                      Entries can be added either from the listing page or directly within the form page by tapping the "+" icon.

                      ・Edit Entry

                      Tap on a field to edit its content. You can upload pictures or files from your mobile device. If you want to access photos stored on your device, please make sure Ragic App has been granted photo access in your phone’s settings.

                      ・Delete Entry

                      To delete an entry, go to the form page, tap the options menu in the top-right corner, then select Delete Entry.

                      Editing Subtable Entries

                      There are three ways to edit Subtable data:

                      1. Directly edit within the Subtable by clicking on a field and entering a value. However, if there are many rows in the Subtable, this method may be less convenient.

                      2. Swipe a row to the right to reveal the "View" and "Delete" icons. Tap the "View" icon to open the detailed record page, where you can edit the Subtable data.

                      3. To enhance usability, Subtables support direct add/edit/delete actions on the Form Page. You can also tap the red “Enter” icon in the top-right corner of a Subtable to switch to a dedicated Subtable view—showing only Subtable data for a more focused and efficient experience.

                      Scanning Barcodes to Enter Data

                      Independent Fields: Tap the field, and a "Scan Barcode" icon will appear on the right. Tap the icon to scan a barcode and input data into the field.

                      Subtable Fields: Swipe the Subtable row to the right and tap the "View" icon to enter the detailed record page. Then, tap the field, and the "Scan Barcode" icon will appear, allowing you to scan a barcode to enter data into the Subtable.

                      Additionally, if the Subtable's Linked Field has Multiple subtable rows at once enabled, you can scan multiple barcodes consecutively to quickly add several Subtable rows.

                      Note: The barcode scanned here refers to barcodes used to represent field values. Scanning Action Barcodes is not supported

                      Approval Record

                      You can tap the approval icon at the top of the Form Page to open the approval page for that record.

                      You can also tap the task icon at the top to view all pending approval items. Tapping the icon on each item will take you to the corresponding approval page.

                      From there, you can complete the approval .

                      Additionally, you can access the Approval Report under the Reports tab to view all approval records related to themselves or their deputies. If the Approval Report is unavailable, please contact your SYSAdmin.

                      Form Page Options Menu

                      Tap the options menu on the top right of the form page to access the following actions:

                      ・Delete Entry

                      ・Clone Entry

                      ・Copy URL

                      ・E-mail this Entry

                      ・Share this Entry

                      ・Share this Entry with Line

                      ・Share this Entry with WhatsApp

                      Mail Merge (Word/Excel)

                      ・Download as Excel File

                      ・Download as PDF File

                      Please note that the Mail Merge feature must be configured on the web version before it can be used in the app.

                      Additionally, entries can be shared via external messaging apps such as Line or WhatsApp. However, the recipient must have appropriate Access Rights to view the shared content.

                      2.7    Mobile App Layout Settings

                      Modify the Layout of the Listing Page

                      The mobile app supports three display formats for the Listing Page: List View, Table View, and Grid View. Each format requires its own layout configuration.

                      Web Version

                      On the web version, only the layout for List View can be customized. To adjust this, go to: Listing Page > Change Design > Form Tools > Mobile App Layout Setting

                      In the layout setting window, there are two sections:

                      ・Top section: Select up to six fields and assign their positions.

                      ・Bottom section: A preview showing how the selected fields will appear in the app.

                      The circular icon on the left shows the first letter of the selected field's value. If an Image Field is used, assigning it here will display its thumbnail instead.

                      Once you save the settings, the configured layout will be applied in the mobile app.

                      App Version

                      On the App interface, only users with SYSAdmin rights can modify the layout for all three display formats—List, Table, and Grid—within the app.

                      To modify layouts directly in the app.

                      1. Tap Listing Page Options Menu > Change Design

                      2. Select a display format you want to edit, then tap the gear icon on the right

                      3. In the design page, adjust the fields as needed

                      These layout changes made in the app will override the web version settings.

                      To restore the original layout, select Reset Layout, which will revert to the default layout set in the web version.

                      Note: Fields that are hidden in the web version's Listing Page cannot be selected for display in the mobile app.

                      Modify the Layout of the Form Page

                      Fields on the Form Page are displayed vertically. By default, the app follows the layout defined on the web interface, reading from left to right, then top to bottom.

                      To adjust field order, go to: Form Page > Change Design > Form Tools > Mobile App Layout Setting

                      Use the arrow buttons on the right to rearrange the Description Fields and Independent Fields.

                      You can also reset to the default layout at any time.

                      Notes:

                      1. The position of Subtables cannot be changed. Any Description Field located directly above a Subtable will be recognized as the Subtable Title and both will remain fixed at the bottom of the Form Page.

                      2. Action Buttons added to a form will be recognized as Description Fields and can also be repositioned using the layout editor.

                      3.1.1    Unsupported Features in Ragic App

                      The following features are currently not supported in the Ragic App. Please use the web version for these operations:

                      Form Design Functions

                      ・Design-related features such as layout changes and field configurations are not available in the app and must be edited on the web version. Once saved, the updates will automatically sync to the app.

                      ・Ragic AI is also not supported in the app, as it is a design-time tool.

                      Notifications and Custom Views

                      ・While saved custom views from the web version can be used in the app, new ones cannot be created or modified within the app.

                      ・Notification settings and related features are not available in the app.

                      Automation and Integrations

                      ・Features such as JavaScript Workflows and API configurations are only accessible in the web version.

                      Reporting

                      ・Report creation isn’t supported, but you can view existing reports in the app.

                      Data Import and Export

                      ・Batch import and export are not supported in the app.

                      ・Only individual records can be downloaded as Excel or PDF files.

                      3.1.2    Why Can’t I Log In to the App?

                      First, make sure that your username and password are entered correctly.

                      If the password is forgotten, tap the Forgot Password option on the login screen. A reset link will be sent to your registered email. Follow the instructions in the email to create a new password.

                      3.1.3    Why Can't the App Open Directly from a Sheet URL?

                      Opening a Ragic sheet URL does not automatically launch the app. This is because not all users have the Ragic App installed, and the app’s functionality differs from the web version.

                      To access the app from a URL, open the link in a web browser first, then tap the "Open with App" option at the top of the page. If preferred, the form can still be used directly in the browser without switching to the app.

                      3.1.4    App Crashes or Cannot Be Opened

                      First, please make sure that the latest version of the app is installed. Visit Google Play or the App Store to check for any available updates.

                      If the issue persists after updating, feel free to contact us at support@ragic.com. To help our engineering team analyze the issue more effectively, please include the following details in your message:

                      1. A detailed description of the problem

                      2. Screenshots or screen recordings of the steps that lead to the issue

                      3. The current version of the Ragic App in use

                      4. Your device brand, model, and operating system version (e.g., iPhone 16 with iOS 17.1 or Samsung Galaxy S24+ with Android 14)

                      5. Is the issue occurring only for specific users, or are multiple users experiencing the same problem?

                      3.1.5    Why Can’t I Access the Sheet?

                      Start by checking whether the sheet can be opened in the web version of Ragic.

                      ・If the sheet cannot be opened in the web version either, it’s likely due to insufficient Access Rights. Please verify the related access settings.

                      ・If the sheet opens normally in the web version, make sure the app is updated to the latest version. If not, please update the app first.

                      Also, check if the mobile network is stable. Switching between Wi-Fi and mobile data may cause temporary disconnection, which can result in display issues. In such cases, try closing and reopening the app, or log back into Ragic. This usually resolves temporary issues.

                      3.1.6    Why Is the Listing Page Field Order in the App Different from the Web Version?

                      If the field order has been adjusted in the app interface, it will no longer match the order set in the web version.

                      To restore the default web version order, go to Listing Page Options Menu > Change Design > Reset Layout.

                      For more details, refer to the section Mobile App Layout Settings.

                      3.1.7    Does the App's Listing Page Support Conditional Formatting?

                      Yes. As long as conditional formatting has been properly configured and is working in the web version, it will also be reflected in the app.

                      To view the same formatting in the app, switch the display mode to Table View from the top-left corner of the Listing Page.

                      3.1.8    Why Didn’t I Receive a Notification? How Do I Set It Up?

                      To receive notifications in the app, go to the web version and click Personal Settings > Notifications in the upper right corner.

                      Under Push Notification, check the events for which notifications should be sent.

                      3.1.9    Why Does the App Still Show Sheets That Are Hidden on the Web Version?

                      Currently, the Ragic App does not support the "hide sheet" feature. As a result, even if a sheet is hidden in the web version, it will still appear in the app.

                      3.1.10    Why Doesn’t the Linked Form Display Images in the App?

                      Due to structural differences between the app and the web version, image fields in linked forms may not display by default.

                      To make images appear in the linked form, set the image field to the circular icon position (the leftmost field) in the listing page layout.

                      For detailed steps, refer to the instructions in “Modify the Layout of the Listing Page.

                      3.1.11    How to Set Up Two-Step Authentication (2FA) in the Ragic App?

                      To enable two-step authentication (2FA) and use the Ragic App to receive time-based verification codes, follow these steps:

                      1. Go to the web version and click Personal Settings in the top right corner. Enable Two-step authentication and enter your account password.

                      2. Choose Ragic App as the authentication method and click Next.

                      3. Open the Ragic App and go to Homepage Menu Options > Settings > Account Security > TOTP > Scan QR Code.

                      4. Use the Ragic App to scan the QR code displayed on the web version.

                      5. After setup, tap TOTP again in the app to view your 30-second time-based verification code.

                      6. Enter this code into the web version’s verification field and click Next.

                      7. Click Enable to complete the setup of two-step authentication (2FA).

                      Additional Note:

                      If TOTP has already been set up in the app and needs to be reset, simply long-press the existing TOTP in the app. A confirmation message will appear asking whether to remove the current TOTP setting. Tap Confirm to remove it, and then proceed with the new setup.

                      3.1.12    Why Doesn’t the App Respond After Scanning a Barcode?

                      There are three places in the Ragic App where the scan function can be triggered:

                      1. Search function on the homepage

                      2. Scan barcode option in the menu options

                      3. Selection field (including link field)

                      Among these, only the Scan Barcode option in the menu options supports executing the action associated with an action barcode. If the scan is initiated from the other two locations, the action barcode will not trigger any response.

                      Below is an explanation of the functionality of each scan method:

                      ・Search function on the Homepage

                      This is used to search for records in the database. It can scan barcodes related to form entries, such as those generated from Share this sheet > Data collection URL > QR Code, allowing access to the corresponding form. However, action barcodes are not supported here, so any associated action buttons will not function when scanned in this way.

                      ・Scan Barcode option in the menu options

                      This is currently the only method that supports action barcodes and allows triggering corresponding action buttons, such as a Convert Records button. It can also be used to scan QR codes that open specific forms.

                      ・Selection Field (including Link Field)

                      After scanning, the barcode content is converted into text and used to populate the value of the corresponding selection field. This feature is designed for quickly entering data such as product codes or material barcodes, making it ideal for scenarios where barcodes are used to represent field values. However, it does not support triggering action buttons.
